The Parliamentary Catering Team is dedicated to showcasing New Zealand's premium hospitality services & products; and delivering memorable experiences at Parliament. The team manages a number of food and beverage venues within the Parliamentary precinct; each offering a different and unique experience; these include the Copperfields café, Pickwick's bar, and New Zealand's fine dining cuisine restaurant - Bellamys by Logan Brown. A further function of the team is providing catering and hospitality services for the numerous functions that are held on the Parliamentary precinct.

Mō te tūnga | About the role

The Operations Assistant is a crucial link behind the scenes to ensure our service delivery is humming! This role is responsible for a range of administrative and business support accountabilities, as well as day to day operational support that includes providing set-up and coverage to the front of house outlets, hospitality functions, and On the Move Service (room and trolley service). The role is varied and works closely with the General Manager, Operations Manager and the Catering Leadership Team with operational and administrative activities.

No two days will ever be the same however here's a couple of other things you'll get involved with:

  • Provide efficient and effective general administrative support to the Operations Manager and wider catering leadership team including (but not limited to) handling customer enquiries for catering and On the Move Service (room and trolley service) bookings, processing point of sale reporting as well as other financial invoicing and related activities, and producing documents and presentations.
  • Provide day to day operational support across the range of activities and priorities across the catering teams.
  • Work with the General Manager and Catering Leadership Team (CLT) around the administrative support and coordination for ensuring reporting and documentation management is in place around compliance and legislative requirements e.g., food hygiene and safety requirements, health & safety, food control plan etc.
  • Provide financial accounts support and processing for the Parliament catering operations to ensure the financial administration and invoice processing have the appropriate approvals, is recorded in the organisational financial system accurately, and any outstanding accounts/invoice queries are followed up or escalated as required.

Wish to be engaged in the opportunity to kick start their career into the next phase. You'll need to be very motivated and collaborative in nature and like to get stuff done demonstrated by your experience and skills ideally in a similar business support type role; or working within the hospitality industry with organisation and administration skills. You'll also:

  • Work well under pressure and in a fast-paced environment
  • Have organisation and administrative skills and experience with the ability to prioritise work according to agreed targets and urgent demands
  • Data entry and accuracy skills and experience
  • Understanding of food service and functions set-up requirements
  • Excellent written and verbal communication skills and ability to positively interact with a wide variety of customers and stakeholders
  • Flexibility to complete a variety of operational and administrative tasks
  • High level of personal presentation
  • High level of food and beverage product knowledge
  • The ability to think laterally and to make sound decisions
  • Understanding of hospitality service levels and system

Desirable

  • Hospitality and/or Customer Service qualifications
  • Accounts processing skills and experience
  • Working knowledge of purchasing systems and processes

The appointing salary range for this role is $54,053 - $59,679 per annum. Appointments will be based on skills and experience (please note, the full salary range extends beyond this to allow for tenure progression).
